Meeting Room Policies

The individual requesting the room is responsible for complying with the following policies and ensuring that all deficiencies are corrected immediately. Failure to carry out the policies stated below could hamper future reservation requests.

Food and Beverages

If you are reserving a conference room and food will be served, please make your reservation for 30 minutes before and 30 minutes after your meeting so you will have time to set up before and clean up afterwards.

Please do not place hot food or serving dishes directly on the conference tables, as they may ruin the finish of the furniture. If you will have hot food or pizza at your event, please use the tables with the table cloths or use the table cloths that are stored inside the small tables to protect the conference tables.

All tables, chairs, and credenzas must be cleaned after each meeting, especially if you are serving food and drinks. The conference room tables should be cleaned with a damp cloth or paper towel.

Coasters must be used under all beverages.

Coffee filters, coasters, sugar, and creamer are provided by the Chairman's Office.

Coffee is NOT provided. The meeting/event organizer is responsible for preparing coffee for their event. A coffee pot can be checked out in room ENS 238. Please wash the coffee pot, throw away used filters, wipe off coffee maker burners and return the coffee pot to ENS 238 immediately after clean up.

Trash

Trash cans must be emptied if they are full or contain any food or beverage cups.
All trash from your event must be thrown or removed from the conference rooms. Extra trash bags are stored in the credenzas or small tables in each conference room. Trash bags should be taken to the outside dumpsters in Parking Lot F25 on the north side of the building.

As of September 1, 2003 the custodians at the University of Texas at Austin will not clean conference rooms or empty trash cans on a nightly basis. Your assistance with cleaning tables, chairs and removing trash after events is appreciated, and helps to create a cleaner and more pleasant environment for everyone who uses the conference rooms.

Any problems or damage to equipment or furniture should be reported immediately to Diana Vega in ENS 238 or to the Chairman's Office in ENS 236.
